From the ABC Trainerize web account, hover over Scheduling in the left-hand menu and select Event Types.

Navigate to the Prospect Booking tab.
- From the Prospect Booking tab, you can:
a) Create a new prospect booking event type.
b) Delete a prospect event type.
c) Activate a prospect event on/off.
d) Copy a prospect event shareable booking link.
e) Set a booking window limit by clicking on the gear icon.
f) Add a video call link for video call prospect events.
How to Create a New Prospect Booking Type
1. In the Prospect Booking tab, click the blue NEW button.
2. Enter the event details, including name, format (in-person, phone call, or video call), duration, and an optional description.
Phone Call: When selecting a phone call, prospect clients will be required to provide a phone number to complete booking. In person bookings do not require a phone call.
Below is an example of the booking page a client would complete for a phone call:
Video Call: When selecting a video call, trainers will be required to provide a video link to enable the booking. This allows prospects to schedule a video call with you (outside of ABC Trainerize, such as Zoom, Teams, Google Meet, etc.) without needing an ABC Trainerize account.
3. Click Add to save your event.
Video Call: Once the event type has been added, select the + Add link button to add a video call link to your appointment.
4. Toggle the event on to activate your booking link.
5. Copy and share your booking link via social media, email, or on your website so prospects can book time with you!
Permission Settings and Event Type Activation
If an Owner or Admin creates a Prospect Booking event type, it will not automatically activate for other trainers such as Regular Trainers, Shared Trainers, and Managers.
Instead, the event type will appear OFF by default for those trainers. Each trainer must manually enable the event type on their own account. This ensures that each trainer controls which prospect event they accept bookings for.
Note: Only Account Owners and Admins can create event types, including prospect booking event types. Managers, Shared Trainers, and Regular Trainers cannot create event types but can activate their own prospect booking event type created by an Owner or Admin.
Video Call Event Types
For video call prospect events, trainers must also add their own video call link (Zoom, Teams, Google Meet, etc.) in order to enable the event type.
To enable a video call event:
- Navigate to the Calendar > Event Type section of their account.
- Add their own video call link to the prospect event.
- Toggle the event ON to activate the booking.
This prevents duplicate or incorrect video links from being used across multiple trainers and ensures that each trainer's bookings route to their own meeting link.
Understanding the Booking Window Limit
The booking window limit controls how far in advance clients and prospects can self-book appointments with you using your shareable link. It can be customized via the gear icon within the Event Type section.
This is a company-wide setting, meaning it applies to all team members and all event types. Only the Owner and Admin can adjust the booking window limit.
With the booking window, you can control:
- The minimum hours before a session start time that a client can book.
- The maximum number of weeks in the future that a client can book (up to 5 weeks).

How to Share Your Booking Link with Prospects
Once your prospect booking event is created and toggled ON, you'll get a unique booking link you can share anywhere. This makes it easy for prospects to book time with you- no email threads or back-and-forth needed.
Where to Share Your Link:
Add it to your bio on social media platforms
Link it to your website or landing page
Include it in your email signature
Use it as a booking page for client referrals
Pro Tip: If you’ve enabled client referrals, we recommend using your Prospect Event link as the sign-up page. That way, when someone is referred, they can instantly book time with you!
Enabled Prospect Booking event types will also appear on your Trainerize.me profile page as a "Book a consultation" button, directly prospects straight to your booking page.
How Prospect Bookings Appear on Your Calendar
When a prospect booking event type is scheduled by a prospect, the appointment will automatically appear on your calendar with the relevant booking details.
- For in-person prospect bookings, the calendar booking will display the time and location of the meeting.
- For phone calls, the booking will include the prospect phone number which they provided during booking.
- For video calls, the calendar booking will display the video call link that was added to the event.
Editing a Video Call Link From the Calendar
If the prospect booking video call link needs to be updated for a specific appointment (for example, if the link has expired, changed or is not working), trainers can update it directly from the calendar.
To edit a prospect booking video call link:
- Navigate to the scheduled booking on the calendar.
- Select the edit icon in the top right of the prospect booking details.
- Update the video link to a new URL.
- Click Save.
When the video link is edited:
- The calendar event is updated with the new link
- The prospect client automatically receives a notification that the video call link has been updated
