How to Strategize Your Video Call Sessions
Plan with Purpose
Just like you would for any in-person client session, take time to plan your video call. This means identifying the goal of the video call and establishing an estimated time agenda.
If your video call is a check-in, nutrition consult, or habit coaching session, consider what you want to cover and what the takeaway from the session will be. Make sure to leave time for a bit of chat in your agenda if you haven’t seen your client in a while—this is inevitable!
Book and Confirm the Call
Set up your video call sessions using ABC Trainerize's scheduling features. Set up a reminder, either by email, calendar invites, or via ABC Trainerize to remind your client of the date and time. Establish A Video Location and Framing
Pick a quiet, clutter-free space with minimal distractions. Here are a few considerations to keep in mind:

- Is my wifi strong and stable?
- Is your framing acceptable? Can your client see your full body (if leading a workout)?
Optimize Your Tech Setup

How to Host Professional Video Call Sessions
Be Early and Prepared
Always be prepared early and join the video call 5 minutes before the session to avoid last-minute tech surprises and to greet your clients calmy and confidently.
Communicate Structure and Expectations
Start each session with an introduction that briefly outlines:
- How long the session will be
- The session format
- What equipment is needed
- If there’s jumping, floorwork or stretching
- Any follow-up or homework
It’s also a great time to remind them to grab a water bottle to stay hydrated.
Be vocal
Silence in a virtual setting can feel a bit awkward. Maintain energy and engagement by counting reps, offering encouragement and coaching cues, and providing feedback in real time.
Use an Audible Timer
If you’re doing timed circuits, set a timer on a second device with an audible alarm and let your client know that you’ve set it. This will help with motivation and will prevent confusion about how much longer.
Move with Your Clients
If you’re leading a workout, consider joining your client in the movements. Mirroring their energy can build motivation and make the session feel more collaborative and personal, just like it would in a gym!
