How to Add Credits to your Client's Accounts

In this article, we'll guide you thorugh the process of adding session credits to your clients account without using Stripe Integrated Payments or selling them in a session pack!

Why Manually Add Session Credits?

  • Seamlessly add free or pre-paid session credits to clients accounts.
  • Consolidate your appointment management and records for all of your sessions- with no limitations set by payment methods.
  • Easily manage and track basic/offline client engagement in one place by manually adding session credits to their accounts.

 

Selling vs. Manually Adding Session Credits

There's no difference in how clients can use paid versus manually added session credits. The difference lies in how the credits are issues:

  • Selling Credits: Clients purchase session packs or product bundles in the app using Stripe Integrated Payments. These credits are automatically added to their accounts and tracked within the app's payment system.
     
  • Manually Adding Credits: You can add credits directly to a client's account without using the in-app payment system. This can be for free complimentary sessions, or when payment is handled outside the app. Note that manually adding credits does not go through Stripe and are not refundable or revocable once added. 

     

Who can Manually Add Session Credits? 


Any team member can manually add session credits to a client's account if they have the necessary permissions. The Account Owner can enable this option within settings:

  • Click the Settings Tab > Permissions Tab > Scroll down to Team member roles and Permissions > Check or uncheck the tick boxes next to Add Session Credits based on who you would like to have this permission.

Once team member permissions are sorted, trainers and staff can add session credits to clients accounts!
 

How to Manually Add Session Credits to Individual Clients

To add session credits for a single client:

  • On the overview page, select the Client tab > Click a client's name to open their Client Card > Scroll down on the Client Card and hit the Blue Plus Button (+) next to Session Credits

  • Select Add Session Credits > Hit the Blue SEND OFFER button >

  • Select the Event Type > Number of Session Credits > and set your Expiry Date (if you would like the credits to expire after a set period) > Hit the Blue SAVE Button

  • Once added, session credits will be visible on the client card under the Session Credits section

How to Manually Adding Session Credits for Multiple Clients


To add session credits to multiple clients at once:

  • On the overview page, select the Client tab > Tick the Select All Box (next to the blue NEW button) OR Select Clients Manually > Click the Three-dot Menu (...) > Select Add-Session Credits from the drop-down >

  • Select the Event Type > Number of Session Credits > and set your Expiry Date (if you would like the credits to expire after a set period) > Hit the Blue SAVE Button.

How to Add Session Credits on the Mobile App 

To add session credits using the mobile app:

  • Select a Client > Scroll to the Session Credits section on the client card  > Hit the blue ADD button >

  • Select the Event Type > Enter the Expiary Date / Time Period if you would like these credits to expire > Hit the Save Button.

How to Remove Session Credits from a Client's Account

Session credits manually added to a client's account are non-refundable and non-revocable. It is not possible to remove session credits from a client's account. 

Workaround for manually removing client session credits:

  • Schedule the appointment type on the client's calendar > cancel the appointment > do not issue a refund for the session credit.
